We are a construction and real estate company focused on medium-sized multifamily and mixed-use developments in Pasadena, CA and surrounding areas. We are seeking a highly organized, detail-oriented professional to support both our administrative operations and accounting department.
Position Summary:
This role combines administrative support, property management coordination, and accounting assistance. The ideal candidate is a proactive problem-solver with strong communication, organizational, and bookkeeping skills who can manage multiple responsibilities in a fast-paced office environment.

Please do not apply if you do not have prior experience in an office setting as an Administrative Assistant, or relevant experience in real estate/property management, AND at least 2 years of accounting/bookkeeping experience.
Key Responsibilities- Administrative & Office Support
Provide comprehensive administrative support by handling a wide range of clerical tasks, including filing, scanning, data entry, and organizing documents. Serve as the first point of contact by answering and directing phone calls, greeting visitors, and managing incoming and outgoing correspondence. Coordinate and maintain calendars, schedule meetings and appointments, and arrange travel logistics for company owners. Prepare, edit, and proofread reports, presentations, and other business documents while ensuring both electronic and physical filing systems remain accurate and well-organized. Additionally, oversee the upkeep of shared office spaces by maintaining and restocking the office kitchen and ensuring the cleaning supply room is organized, fully stocked, and ready for use.
Key Responsibilities – Property Management & Tenant Relations
Act as the primary point of contact for tenants, responding to inquiries and coordinating timely resolution of maintenance requests. Support leasing operations by assisting with unit showings, processing applications, conducting credit checks, and preparing lease agreements. Coordinate property maintenance and vendor services to ensure work is completed efficiently and to standard. Perform regular property inspections to verify compliance with company policies and applicable regulations. Maintain accurate and organized tenant files, leases, and property records, and provide support with rent collection, invoice processing, and basic financial reporting.
Key Responsibilities – Accounting & Bookkeeping Support
Provide day-to-day accounting support by accurately entering and maintaining records of all financial transactions. Manage accounts payable and receivable, ensuring timely processing of invoices and payments. Prepare and make bank deposits and accurately post all deposits into QuickBooks. Assist with preparing general journal entries, performing bank and credit card reconciliations, and maintaining organized financial documentation, including invoices and bank statements. Support the preparation of year-end 1099 forms and collaborate with senior accounting staff to assist with reporting, reviews, and accuracy checks to ensure financial data integrity.

Education & Qualifications
High school diploma or equivalent required; associate or bachelor’s degree in accounting, business administration, or a related field preferred. Relevant experience in administrative support, bookkeeping, or property management strongly desired. Proficiency with accounting software (e.g., QuickBooks) and basic financial practices is a plus.
Position Details- This is a full-time, in-person position based in Pasadena; remote work is not available. The standard schedule is Monday through Friday, 8:00 a.m. to 5:00 p.m. The salary range for this role is $62,000–$65,000 annually, depending on experience, skills, and qualifications.
